Meeting Notes

 

 

·        Introduction - Eric Nathan greeted all attendees and introduced Nik Bhatt, Coordinator of Multimedia Services. Nik was promoted recently to this new position.

 

  • IT Training Staff and Vision - Jim Berry, Manager - IT Training and User Development, discussed the following:
    • Training Staff:
      • Mike Mathena, Learning Technology Consultant
      • Tomika Greer, Training Specialist
      • Will Robinson, User Support Specialist
    • Training Vision:
      • Philosophies & Values

·        The ultimate goal of training is to empower individual to work more productively and effectively with reduced frustration.

·        Training must become an integral partner in the adoption of new technologies and services rather than an afterthought or optional feature.

·        For any given training topic, there will probably be multiple approaches/modalities required to address the needs of the users.

·        The training group should respond to identified needs of the institution, yet be visionary and proactive in anticipating future training issues.

·        The training group cannot, and should not, try to “do it all” – in many cases the value add will be the orchestration of pairing the expertise of the subject matter experts to the target audience and leveraging that SME contribution as far as possible.

·        Our Approach

·        The spring months were spent conducting needs assessments through all areas of the University.

·        The initial effort was directed toward the “low hanging fruit” – those programs in great demand that could be easily presented and impact large numbers of employees.

·        Attention has been given to organizational structure and methods by which we can effectively market training programs and interface with the University community.

·        A training management system, Training Register, has been implemented to help streamline logistics and initiate individual training plans and training records.

·        Initial Milestones

·        Over 200 individuals attended classes offered over the summer.

·        Forty-two separate classes have been developed for presentation this fall.

·        Focus has been given to short courses with very specific skill outcomes.

·        The Training Register TMS software has been implemented and is being well received by the UHD Community.

·        One-on-one training is being conducted daily on a variety of topics.

·        Where We’re Going

·        Continual program improvement in class offerings.

·        Expansion of modalities past the initial classroom approach.

·        Identification of appropriate “training tracks” for skill sets needed.

·        Increased responsiveness to the user base.

·        Implementation of required training programs for some services.

·        Tighter integration of training services to existing and emerging technologies.

·        Developing an effective “one-stop-shop” for user training and information.

 

·        Digital Signage system was presented by Steve Cachia, Video Network Engineer. Steve discussed the availability, location, purpose, and possible applications of the new Digital Signage system. Large digital display screens are now installed in three locations on the 3rd floor: The locations are 3rd Floor East, 3rd Floor West and the Cafeteria. The primary purpose is to provide information for the student body. The system will be used to advertise different types of events, alert notifications and live TV events. The screens will be used to display both text messages and video clips. The screens have been tested and operational control has been passed to Albert Holden in ITV. Albert Holden and Will Robinson will be conducting training to user groups who are allowed to input text messages on the system. The large screen digital display screens are part of the larger IT communications project which also includes touch screen information panels and kiosks. The system is presently available from 6:00am to 11:00pm.

 

·        Banner Upgrade Update was presented by Hossein Shahrokhi, Executive Director – Information Technology. The project has started, testing and user training will take place this fall. Implementation is expected to occur during the Spring Break 2005.

o       What’s changed in Banner 6?

§         Many of the icons have changed to be more descriptive.

o       What’s the same?

§         The initial screen has a “new logo” and some smart new graphics, but once you type the form name in the GO box, you will have the same familiar interface you had in Banner 5, but enhancements and additional functionality have been added.

o       Who is testing?

§         Several groups have been identified to test Banner 6, including IT technical staff and campus functional staff. They will be testing Banner 6 for the next few months in an effort to insure that the Banner 6 upgrade is as flawless as possible.

o       When will the upgrade be completed?

§         The target timeframe for completing the Banner 6 upgrade is by the end of Spring Break 2005.

 

·        ACL Updates were presented by Lucy Bowen, Coordinator of Computing Lab Services. Lucy discussed the new satellite Academic Computing Lab located on the 3rd floor of the Commerce Building. The facility has 75 student workstations and mirrors the services provided by the main ACL. Lucy also discussed the Wireless Summer rollout campaign. Flyers were placed throughout the campus and a web site was completed to provide detailed information regarding our Wireless coverage, FAQs, requirements, security and services. ·        User Support Updates were presented by Said Fattouh, Director – User Support Services. See the following updates:

o       Desktop Computing Project

§         Meetings are underway with department chairs and supervisors to finalize the plan for this year and set priority.

o       Satellite Lab Upgrade Project

§         Meetings will begin soon with lab liaisons to talk about lab PC replacements.

o       Computer Viruses

§         UHD has seen few new viruses over the past week.  Virus protection is automated to remotely update clients.

o       Windows Update Automation

§         We are in the process of automating the update to Windows operating systems on campus and will be asking faculty and staff to start keeping their PCs on overnight.

o       Windows XP SP2

§         We are still holding on upgrading Windows XP to SP2 until testing is finalized.

o       Commerce Building Support

§         The new full-time Technical Support Specialist position will be filled within a week.

 

·        Distance Education Updates - Dr. Gail Evans, Executive Director of Distance Education, was present at out ITS meeting, but she had to leave before providing any updates. Eric Nathan asked all attendees to forward any questions or inquiries regarding Distance Education to Dr. Evans. No updates were discussed in the meeting.

 

·        Library Updates were provided via a handout by Steven Ring, Library Technical staff. The following information was included in the handouts:

o       Distance Education Librarian

§         Shannon Cunningham will start work on November 1 as the Distance Education and Interlibrary Loan Librarian. She will plan and coordinate library services for distance education, giving these services personal attention that was not previously possible. Shannon has a strong background as a corporate librarian and independent consultant.

·        Fall 2004 IT Grant Awards were discussed by Eric Nathan, Administrator – Technology Teaching and Learning Center. Eric discussed the title and purpose of the two (2) IT Grants that were awarded for the Fall 2004 semester. They are as follows:

    • Block Retest Procedures and Test Bank Items Development for Pedagogy and Professional Responsibilities submitted by Drs. Shelley McIntosh and Susan Paige in the Department of Urban Education.
      • The purpose of this IT Grant will be to: (1) create a valid test bank of items for the Pedagogy and Professional Responsibilities (PPR) retake examinations; and (2) create a secure, online testing environment for needed retakes based on the PPR block examination procedures in the Urban Education Department.
    • Gaming submitted by Dr. Jean DeWitt in the Department of Arts and Humanities.
      • The purpose of this IT Grant will be to: (1) explore the theory of learning using video games in order to share the information with colleagues at UHD; (2) develop a plan of assessment for situated cognition and learning environments to add to what we, at UHD, know about assessment of learning in online environments; (3) develop a module using gaming to be included in an upper level communications course; and (4) produce a literature review of teaching and learning using video games.

 

  • Fall 2004 Online Course Development Project (OCDP) was discussed by Mark Henderson, Instructional Designer/WebCT Administrator.
    • Juvenile Delinquency – CJ 3306 will be developed by Drs. Beth Pelz and Bob Walsh in the Department of Criminal Justice.
      • The purpose of this project is to develop an online CJ 3306 course that meets the departmental requirements for the CJ online degree plan.

 

  • WebCT Updates were presented by Mark Henderson, Instructional Designer/WebCT Administrator.
    • WebCT/Banner Integration Update
      • Integration with Banner for creation of courses, addition of students and faculty to courses, and inactivation of students who drop courses.  Slated to release by the end of Spring semester and perhaps sooner if we can get the system tested and ready to go.
    • WebCT/Contribute Update
      • Will be working on Contribute project to provide faculty with a more robust and easier editor for WebCT course files.
    • WebCT Service Pack
      • We added a new service pack to WebCT that fixed some potential security holes.
    • WebCT Exam Security
      • We are looking at some tools to help with exam security in WebCT.

 

  • ITV and Multimedia Updates presented by Lloyd Matzner, Director – Instructional Television and Multimedia Services. Lloyd mentioned that 35 classes have been proposed for the Spring 05 ITV schedule. AV installation has been completed in rooms C120 and C100 in the Commerce Building. In addition, faculty was encouraged to use the online Multimedia reservation form for reserving multimedia equipment.

 

  • Operations and Telecommunications Updates presented by Joe Longoria, Manager – Telecommunications, Operations and Video Network Operations. Joe discussed UHD’s telephony security (i.e. tracing/tracking harassing or threatening telephone calls).
